Privacy Policy

This Privacy Policy (hereinafter “Policy”) describes how the New Children’s Hospital Foundation rf. (hereinafter “NCHF”) collects, processes and discloses personal data in connection with donor and stakeholder relations, grant processing and the website www.uudenlastensairaalantuki.fi.

2) Collection and processing of personal data
As a general rule, we collect and process the personal data that you have given us when making a donation, participating in our activities or contacting us. We also process personal data when we send out a newsletter, inform about events or carry out other communication or make enquiries or conduct surveys.

For example, we collect and process the following personal data:

  • basic information, such as name and contact details (email address, municipality of residence, telephone number, date of birth)
  • information related to the cooperation relationship, such as the nature of cooperation, marketing authorisations and prohibitions
  • contacts related to donations and the related correspondence, the date and amount of the donation and the beneficiary of the donation
  • data relating to grant applications and grants awarded, and records of data subjects’ rights
  • other information you provide
  • other information, as determined on a case-by-case basis, based on your consent.

If necessary, we record information on participation selection and special dietary requirements for events.

3) Purpose and legal basis for processing personal data
We only collect and process personal data that is necessary for the management of the cooperation relationship, the performance of our activities, the organisation of related events or other related activities.

We process your personal data for the following purposes:

  1. Managing the donor relationship. We process personal data primarily for the purposes of managing the donor relationship and carrying out reporting to the authorities (annual reporting on the fundraising permit) and related activities. The processing of personal data is based on the donor relationship (contract) between you and us.
  2. Communication. We can contact you to inform you about events and current projects. We may also process your personal data for the purposes of marketing surveys and member surveys. The processing of personal data is based on our legitimate interest in providing information as part of our activities. You have the right to object at any time to the processing of your personal data for direct marketing purposes (see Chapter 8 of this Policy).
  3. Grant applications. We award grants for research and development of treatment of children’s diseases. We process personal data primarily for the purposes of processing and evaluating grant applications and paying out grants, as well as for the purposes of reporting to the authorities (statutory notifications to the tax authorities). The processing of personal data is based on the cooperation relationship (contract) between you and us.
  4. Service development, data security and internal reporting. We also process personal data to ensure the data security of the website, to improve and develop the online service and the quality of the website. We may also use personal data to compile reports for the Governing Board and the Delegation. In these cases, the processing of personal data is based on our legitimate interest in ensuring appropriate data security of the services and our website and in obtaining sufficient and appropriate information to develop the services and manage our activities.
  5. Compliance with the law. We may process your personal data to fulfil our legal obligations, for example, in relation to accounting or to comply with requests for information from public authorities (e.g. the tax authorities).
  6. Other purposes for which you have consented. We will also process your personal data for other purposes if you have given your consent to such processing.

4) Transfers and disclosures of personal data
We may disclose personal data to third parties:

  • to the extent permitted or required by law, such as providing grant payment information to the tax administration for taxation purposes, complying with a request for information from a competent authority, or disclosing information for legal proceedings;
  • when our partners process personal data on our behalf and in accordance with our instructions, as commissioned by us;
  • where we consider disclosure to be necessary to exercise our rights, to protect your safety or the safety of others, to investigate wrongdoing or to respond to a request from a public authority;
  • with your consent, to parties whom the consent covers, for example, to our partners for the purpose of providing membership benefits.

5) Transfers of personal data outside the EU and EEA
We do not transfer personal data outside the EU and EEA.

6) Cookies
We use cookies and similar technologies on the website www.uudenlastensairaalantuki.fi to ensure the technical functionality of the pages and to analyse the use of the website. Cookies other than those that are technically necessary are not used. Cookies are small text files placed on your device to collect and remember useful information to help our website function properly and provide you with a good website experience.

7) Retention of personal data
Personal data will only be retained for as long as it is necessary to fulfil the purposes of use as defined in this Policy. Unnecessary data will be destroyed, taking data security into account. The Foundation may, in accordance with good foundation practice, archive a list of grantees.

a) Manual records. As a general rule, there are no manual records. If, for example, a list of participants, including their names and email addresses is printed, it will be destroyed in accordance with appropriate data protection practices when it is no longer needed.

b) Electronic material. Access to systems containing register data (e.g. Lyyti) is restricted to those employees of the Foundation who are entitled to process register data on the basis of their job description. Each user has a personal user name and password for the systems. Service providers are each responsible for the technical protection of their systems.

Where the Foundation’s employees store register data on their personal computers, only the employee concerned has access to that data. In the event of a personal data breach, the persons in the register will be informed in accordance with the applicable laws.

8) Your rights
You have the right to check your personal data. You may, at any time, request the rectification, updating or deletion of your personal data. Please note, however, that personal data that is necessary for the purposes defined in this Policy or that is required to be retained by law cannot be deleted, or its deletion will result in our inability to provide some or all of our services.

We take appropriate measures (including physical, digital and administrative measures) to protect personal data against loss, destruction, misuse and unauthorised access or disclosure. For example, personal data is only accessible to persons who need it for the performance of their duties.
